Rental conditions

Rooms & Houses offers two ways to rent: (A) apply for homes we list on our website, or (B) use our Home Search Service where we actively help you find a suitable rental and you apply via our form. The conditions below explain eligibility, documents, and how each path works.

A or B? How we operate

Path A — Apply for a listing on our website

Browse available properties on www.roomsandhouses.nl and apply directly from the listing. Our screening and allocation apply. If a specific project has extra rules, they are shown on the property page.

  • Eligibility: our criteria on this page
  • Screening: identity & affordability checks
  • Contract: with our landlord/partner for that listing

Path B — Home Search Service (we assist you)

Tell us what you’re looking for and we’ll help you find options (also beyond our own listings). We guide viewings and submit applications with your consent.

  • Eligibility: landlord/agent criteria may vary by property
  • Screening: our pre-checks + the landlord/agent’s checks
  • Contract: usually signed with the external landlord/agent

1. Income & affordability

We check whether the rent is affordable for your situation.

  • Single applicant: net monthly income should be at least 2.5× the base rent.
  • Two applicants: combined net monthly income should be at least 3× the base rent (both incomes count 100%).
  • Guarantor(s) (required for non-working or low income earners): provide a guarantor with net monthly income ≥ 3.5× base rent. The guarantor will be screened and signs a guarantee addendum.
  • Savings (when used to qualify): we may count a portion of liquid savings toward affordability. Typically have at least 6 months of base rent in liquid savings; in some cases we may require up to 12 months.

Example: Base rent €1,100 → single applicant needs ~€2,750 net/month.

  • Path B note: Mostly the same, however external landlords/agents may use different multipliers; we will inform you per property.
  • 2. Security deposit

    • Path A (our standard): 1 month of base rent.
    • Self-employed/temporary contracts (Path A): up to 2 months of base rent may be required.
    • Path B: deposit amounts are set by the external landlord/agent and may differ; we will advise before you apply.

    3. Documents we require

    Please upload clear copies (PDF/JPG) either during application or after viewing:

    • Valid ID (passport/ID card).
    • Last 3 pay slips.
    • Employer’s statement or employment contract.
    • Recent bank statements (last 3 months showing salary and rent/payment history).
    • Landlord statement or proof of mortgage payments (if applicable).
    • Self-employed: Chamber of Commerce extract (KvK) and most recent income tax return / accountant’s statement.
    • If using a guarantor: guarantor’s ID, last 3 pay slips (or income statements), employer’s statement, and last 3 months of bank statements.
    • If qualifying with savings: recent bank statement(s) showing the required balance (≥ 6 months of base rent; up to 12 months may be requested).

    4. Other rental conditions

    • Minimum term: 12 months (unless stated otherwise in the listing or contract).
    • Minimum age: 18.
    • Screening: we perform an identity, affordability and (where required) PEP/sanctions check.
    • Incomplete applications might be delayed to processed.
    • Applications may be declined if criteria are not met.
    • Before key handover, the contract must be signed and the first invoice paid.
    • Data sharing (Path B): with your consent, we share your application with relevant landlords/agents for properties you select.

    5. Screening & privacy

    Your data is used only to assess and manage your rental application in line with our privacy policy.

    6. How to apply (choose A or B)

    Path A — Apply for a listing on our website

    1. Choose a listing on our website and click Apply / Request a viewing.
    2. Create your account and complete the application form.
    3. Upload the required documents (and guarantor/savings evidence if applicable).
    4. Screening & viewing: if selected, you’ll be invited for viewing. After allocation, we finalize checks and prepare the contract.

    Path B — Home Search Service (we assist you)

    1. Fill out our Home Search form.
    2. Intake: we confirm your brief (budget, area, timing) and do a quick affordability pre-check.
    3. Search & shortlist: we propose options (including third-party listings) and arrange viewings.
    4. Application support: with your consent, we submit your file to the chosen landlord/agent; their criteria and timelines apply.
    5. If accepted, you sign the tenancy agreement with the landlord/agent. We stay available until move-in.
