Tenant Search Terms — tenant-side representation

Tenant-side representation

Version: 23 October 2026

By engaging the Tenant Search Service, the client instructs iRooms and Houses to search for suitable rental accommodation and, where requested, assist the client in approaching and applying for properties available on the external rental market. You appoint us as your tenant-side search agent. We search, identify and pursue suitable external-market opportunities for you, including opportunities we learn about through other agents.

We first record your instruction and search requirements. Your instruction does not authorise us to sign a tenancy, incur third-party charges or submit an application without your further agreement. Search activity and registration do not guarantee accommodation, a viewing, acceptance or a particular completion time.

Our fee and conflicts of interest

Our tenant-search fee applies only to services performed on your behalf as prospective tenant. Where iRooms and Houses represents or has been instructed by the landlord or listing agent to market a particular dwelling or procure a tenant, no tenant-side mediation fee will be charged for that dwelling. This also applies if the landlord-side work is unpaid. We do not avoid this protection by describing mediation charges as registration, administration, dossier or contract charges.

The existing Home Search registration fee is €60.50 including VAT (€50 excluding VAT), valid for 12 months and credited against the agreed successful-placement fee. The published successful-placement fee is equivalent to one month’s rent; the applicable rent basis, VAT and full consumer total must be set out in your written fee agreement before you commit. No fee is owed where prohibited by law. An amount incorrectly charged must be corrected or refunded. The allocation of any prepaid search fee must not result in prohibited charges for a landlord-side property.

If a potential landlord-side instruction or payment arises, we pause pursuing that dwelling for a tenant-side fee, disclose the role conflict and confirm the lawful fee treatment before proceeding. A tenant instruction or disclaimer does not override the actual services performed or mandatory consumer protection.

External market cooperation

iRooms and Houses may receive information about available properties from third-party landlords and rental agents. Receiving information alone is not an instruction to market a property or procure a tenant. We may independently identify an opportunity as potentially suitable for clients who have already instructed us to act on their behalf as prospective tenants.

Before assigning an external-market opportunity, we record its source, date checked, objective requirements, our representation role, any marketing or tenant-finding instruction, and any landlord-side remuneration or referral benefit. We do not label an opportunity as exclusively tenant-side if the actual relationship says otherwise.

External market opportunity notice

This property is offered by a third-party rental agent or landlord. iRooms and Houses does not represent the landlord for this property. It may be pursued for clients who have instructed iRooms and Houses to act on their behalf as a tenant-search agent. This notice may only be used after we have checked that it accurately describes our role.

Availability, applications and fair treatment

Rents, charges, municipal registration, availability and application requirements are checked for each opportunity and may change. Public examples are illustrative search information unless explicitly described as a verified current offer. The external provider’s published selection procedure and lawful objective criteria apply; our search instruction does not grant priority or guarantee selection.

We use relevant affordability, occupancy, timing and property requirements, not protected personal characteristics, to organise our search. We do not pass discriminatory requests on to clients as acceptable criteria. Our fair rental selection procedure explains our process and complaints route. Keeping details in a private portal does not remove applicable legal obligations.

Personal information and your choices

We use your brief to assess suitable opportunities. We obtain your agreement before sending your application or documents to a third-party provider. Share only information needed for that application. Our privacy notice and your other applicable consumer terms remain available before registration and payment. This declaration does not waive statutory cancellation or withdrawal rights, amend an existing client’s agreement retrospectively or authorise marketing communications.

Questions or changes to your instruction: info@roomsandhouses.nl. You may save or print this page. Existing clients must actively give this instruction before using the new opportunity network; previous payment alone is not recorded as an instruction.
